How to Scale B2B Outreach Without Losing Your Brand Voice

Writing emails, posts, or content for B2B (business-to-business) requires a careful touch. It’s similar to selling your brand and product, but to a specific group of people individually.

But whether the outcome will be fruitful or not is very uncertain.

On the other hand, the volume of the messages and posts is also quite important for the final outcome, closing a deal, and boosting the business's sales and revenue.

So, most of the time, the outreach specialist struggles to write messages and reach a huge number of businesses while maintaining quality and a consistent brand voice to ensure the closure of a deal.

So, if you are one of them, looking for a viable way for better B2B outreach, here are five strategies through which you can scale and improve your B2B outreach without jeopardizing the quality and brand voice.

TL;DR

  • Use AI for research and first drafts, then edit and run the text through an AI detector before sending
  • Keep a one-page brand voice guideline in front of you and build it into your AI prompts
  • Write in a direct, consultative tone from the customer's perspective, without internal jargon
  • Segment outreach by role, company type, deal size, industry, and the problem you solve
  • Have a senior sales or outreach specialist review every message before it goes out

Integrate AI Wisely

Many of the B2B or lead generation specialists get skeptical about using AI for writing messages and emails. But they lag behind when it comes to volume.

Again, some of you use AI, but in a way that makes it sound very generic, leaving you with zero outcome.

So, you must ensure that you are using AI strategically so that it actually helps with both volume and quality.

First of all, take help from AI for doing research about the business or the company you are trying to reach. Also study the position, designation, and the role of the team member you are connecting with or having a conversation with.

Then, write the first draft of the email, or the message with AI, and then edit that for improving it. The AI tool itself can find the scope of improvement and edit it for betterment. Or you can edit it on your own.

Finally, if you are done with editing, check the text by using an AI detector. Through the test, you can find out if there is any AI-generated text left or not. Also, you can find the portions where you need improvements.

By following this workflow, you can write maximum emails without hampering the quality of the writing or diluting the brand voice, and find a balance between quality and speed.

Prioritize Your Brand Voice

When you are writing an outreach LinkedIn post or an email, you must keep your brand voice in mind so that it properly reflects in your posts.

For that, you can create a one-page brand voice guideline, a list of the brand values, and your brand strategies, and keep it in front of you while writing or editing the content for your B2B outreach.

Also, while you are writing the first draft with AI, make sure that you have integrated the brand voice and guidelines into the prompt. Or you can integrate the brand voice after you get the first draft while editing.

But also keep in mind that you should not sound overtly pushy or promotional in the email or the posts.

Define Tone and Language

The best way to be consistent and maintain the brand voice in the messages and emails is to define the tone and language of your writing.

Always remember that the tone of your posts should be direct, clear consultative, and helpful that can solve a problem.

Also, the post must address the pain points of the company you are reaching out to. After addressing their problem briefly, you also need to provide the solution or the services your company can provide.

While choosing the vocabulary and language, always keep in mind that you are to write the emails from the perspectives of the customers, not your own language sellers’ perspectives. So, you must avoid using your company’s internal jargon.

Moreover, follow a proper structure that leads the readers somewhere, instead of writing the email in a scattered manner. The unorganized structure may frustrate the customers, and you can lose the deal as well.

When you write the email with AI, it may not focus on the customer’s point of view. So, you have to integrate the language and alter the vocabulary on your own.

So, keep your customers' perspective in mind while you are writing or editing the post, and deliver your brand’s services and solutions to them.

Divide Purpose and Role

To write an organized email, you can divide or build segments according to the role of the company, its type, the size of the deal, industry patterns, and the specific problem your product solves.

Based on the segment, you should do enough research so that you address them very well. When you write something focusing on them, you should try to address their own pain points and your brand voice in each section.

The divided sections will help you structure the email and prevent you from digression or going away from your brand voice.

Human Governance

This is where most of the B2B specialists make mistakes. They often underestimate the importance of human governance.

Mostly, the brand voice does not reflect in a LinkedIn post or an outreach message because of the lack of proper human governance. Especially if they are using AI assistance, as they rely on the outcome too much.

AI will never personalize the post according to your brand’s voice values and the customers’ company or perspectives. You need to take care of that on your own.

So, before publishing, if the content goes through a proper check by a human, it is properly checked and improved, which can bring a deal to the company.

It is better to have a senior sales specialist or outreach specialist check a post, message, or email before sending it to the buyers or customers.

Final Thought

Writing B2B outreach content, balancing quality, volume, and brand voice, may sound like a very difficult task at first. To some extent, it is. That is why scaling the process is very important.

But with the right use of AI tools and strategies, you can definitely make that happen. Follow the strategies and tactics mentioned above. And you can write a perfect deal-making email or LinkedIn message.
